Set up payment methods

You can offer your customers various payment methods. They can be divided into two types:

  • Usual payment methods like payment in advance, invoice or direct debit where you handle the billing.
  • Payment through a third-party provider, like PayPal, which handles the entire payment process on your behalf and then passes the money on to you. You have to register with the payment provider first before you can set up that payment method in your shop.

You should ideally offer your customers several payment methods. This will reduce the chances of customers cancelling their order because you do not offer their preferred payment method.

How to create a new payment method with a payment provider like PayPal

External payment providers offer you different advantages. Many of your customers might already have an account with PayPal or a similar provider, you won't need to worry about payment processing, paid orders are automatically flagged and all you need to do is dispatch them, and more.

In the case of external payment methods, the transactions are processed on the provider's platforms. The customer is therefore directed to the provider's system for the payment process where all the necessary information is recorded, checked and processed. The customer is then redirected back to your shop. The corresponding orders can be allocated by means of transaction numbers.

Follow the steps below to create a new payment method with a payment provider:

  1. In the sidebar of the administration, navigate to SettingsPayments.
  2. In the table at the bottom of the page, you can see all the payment methods already created in your shop. At the top of the page under Add payment method, select the kind of payment method you want to add.
  3. On this page, you can find information on this payment method. Select Add to add a payment method to your shop.
  4. Follow the instructions displayed on the page to set up this payment method.
  5. Select Save.

The payment method is now created, but it is not available to your customers yet. You now need to edit it. Continue with step 3 of the section How to edit a payment method.

How to create a new standard payment method like invoice or payment in advance

  1. In the sidebar of the administration, navigate to SettingsPayments.
  2. In the table at the bottom of the page, you can see all the payment methods already created in your shop. As you can see, some payment methods are already pre-set and all you need to do is adjust and enable them. If the payment method you require is already in the table, please skip to step 2 of the section How to edit a payment method.
  3. If the payment method you require is not there, go to the top of the page. Under Add payment method, select Default. Maybe you need to select Show all to see all available options.
  4. Select Add for the payment method you would like to add. Depending on your shop, these payment methods may be available:
    Payment method Description
    Invoice You issue an invoice. After receipt of the goods, the customer transfers the payment.

    Further notes:
    • The entire risk is with you. You have increased efforts to check payments, identify unpaid invoices and, if required, collect any outstanding payments.
    • Invoice payment is very popular with customers. Their bank details remain secret and they can check the goods before payment.
    Cash The customer pays the invoice in cash. Offer this payment method in combination with collection of the goods by the customer.
    Cash on delivery Payment is made upon receipt of the goods and will be handled by the shipping provider.

    Further notes:
    • You can be sure that your goods will be paid for. Additional charges may apply for you.
    • Your customers pay after receipt of the goods. Additional charges may apply for the customer.
    Payment in advance You only dispatch the goods upon receipt of the customer payment.

    Further notes:
    • For the merchant, payment in advance is a secure payment method. However, there is an increased effort as you must validate the reception of payment before dispatching the order.
    • Many customers avoid using payment in advance because they must transfer payment at their own risk for goods that have not yet been delivered.
    Further manual payment methods You can set up additional manual payment methods, define the names and detail the conditions.
    Direct debit Via a contract with your bank, you debit payments due directly from your customer's bank accounts.

    Further notes:
    • The risk of insufficient funds in customer bank accounts or reverse transfers by customers is with you.
    • For customers, this payment method is convenient because they provide only their bank account data. However, because there is a risk of misuse, not all customers are willing to share this data. Certification seals increase customer confidence.
  5. Continue with step 3 of the section How to edit a payment method.

How to edit a payment method

  1. In the sidebar of the administration, navigate to SettingsPayments.
  2. In the table at the bottom, you can see all the payment methods already created in your shop. Select the name of the payment method you want to edit.
  3. On the General tab, you make the general settings for the payment method. Please note that there are various options available depending on the payment method.
    Option Description
    Internal ID This internal name for the payment method is not displayed anywhere to your customers.
    Type The type indicates the kind of payment method. It cannot be altered once the payment method has been created.
    Visible in shop This is where you determine whether the payment method is available or not to your customers in the shop. Leave this option set to No until the payment method has been fully set up.
    Default selection Specify whether this should be the standard payment method for your shop.
    Minimum / maximum order value Here you can determine whether there needs to be a minimum and/or maximum order value for this payment method. If a customer order does not meet the minimum order value and/or exceeds the maximum order value, the customer will not be offered this payment method.
    Discount or surcharge Specify if customers get a discount or have to pay a fee for ordering using this method. Then you can determine the value of the discount or fee.
    Region

    If this feature is available in your shop, you can specify that only customers from a specific region can use this payment method. Please note that you first need to set up at least one region for your shop. Select Add region to do so. For further information, please refer to the article Regions.

    Name in shop The payment method is displayed in the shop with this name.
    Description Here you can enter further information about this payment method for your customers. This information will be displayed to your customers during the order process when payment methods are selected. It will also appear on the order documents.
    Display logo Determine if a logo for this payment method should be displayed in the order process. In this case, upload an image of the logo and select beforehand if the image size should be changed during upload. Some payment methods already have a default logo.
  4. Select Save.
    For some payment methods, you do not need to make further settings on an extra tab. If you process this kind of payment method, please skip to step 7.
  5. Select Settings.
    On this page, you make additional settings for this payment method. If it is a payment method with a third-party provider (for example PayPal), you can find instructions at the top of the page with the additional steps needed to set up this method. Please follow these instructions, make all the additional settings on this page, and save the changes.
  6. Select General.
  7. For Visible in shop, select Yes.
  8. Select Save.

The payment method is now available in the shop for your customers. You should always test payment methods with third-party providers. See the following section How to test a payment method.

In the administration area under Settings Payments, you can specify the sequence in which the payment methods are displayed to your customers. For further information, please refer to the article Changing the order of elements.

How to test a payment method

Most payment providers have a test mode at your disposal. Even if there is no test mode, you should still test the payment method when your shop is live.

  1. In the administration area in the main menu, select SettingsPayments.
  2. In the table at the bottom, you can see all the payment methods already created in your shop. Select the name of the payment method you want to test.
  3. Select Settings.
  4. If you have the option Operational mode here at your disposal, select Test and save the changes. If not, simply carry out the test order in live mode.
  5. Go to your online shop and make a test order in which you select the payment method.
  6. If everything has worked, change the operating mode to Live if necessary.
  7. Select Save.

Making a payment method available for certain delivery methods only

Sometimes it is useful for you to allow certain payment methods only in combination with certain delivery methods. For instance, you could determine that you only allow express delivery to customers who paid via PayPal.

  1. In the administration area in the main menu, select SettingsPayments.
  2. Select Dependencies.
  3. Select which combinations should be possible by activating the respective checkboxes.
  4. Select Save.

How to delete a payment method

  1. In the sidebar of the administration, navigate to SettingsPayments.
  2. Activate the corresponding checkboxes for all payment methods you want to delete.
    It is not possible to delete a payment method if it is currently set as the default selection. Before you can delete this payment method, you need to set another payment method as the default selection.
  3. Select DeleteIconGrey.png.
  4. Select Delete to confirm your decision.

You have deleted the selected payment method.
