Stock level & Minimum stock level

The stock level indicates the quantity of a product that is still in stock. You can define an individual stock level for each product in your shop.

On the other hand, the minimum stock level indicates when you should restock a product and it helps your customers to decide whether they should order soon before the product is sold out.

Whenever an order comes in, the stock level will be automatically updated by your shop system.
An example: You have set a stock level of 15 for a product. If the product is ordered three times, the stock level is now 12. If you have also set a minimum stock level of 13 for this product, it will now be displayed as low in stock in your shop.

You can also be notified via email events when the stock of a product reaches or falls below the minimum stock level. For further information, refer to Email events.

How to define the stock level/minimum stock level

  1. In the sidebar of the administration, navigate to Products → View products.
    The table shows an overview of all products in your shop.
  2. In the table, select the respective product number of the product you would like to edit. For variations, refer to the section below.
  3. Move to the Inventory section.
  4. Under Stock level, enter the product quantity that you currently have in stock.
  5. Under Minimum stock level, enter the product quantity that must be available for the product to be displayed as in stock.
  6. Select Save.

You have successfully defined a stock level and a minimum stock level for the product.

You can also update the stock level via the product overview under Products → View products. Hover over the column Stock level, select EditPencilIcon.png, and enter the respective value. Remember to save your changes. You cannot use this method to update the stock level for products with variations.

There is no bulk action for updating the stock levels. That means that you'll need to repeat the steps above for each product.

How to define the stock level/minimum stock level for variations

  1. In the sidebar of the administration, navigate to Products → View products.
    The table shows an overview of all products in your shop.
  2. In the table, select the respective number of the product with variations VariationProductIcon.png that you would like to edit.

  3. Select the number of the variation you would like to edit.
  4. Move to the Inventory section.
  5. Under Stock level, enter the product quantity that you currently have in stock.
  6. Under Minimum stock level, enter the product quantity that must be available for the product to be displayed as in stock.
  7. Select Save.

You have successfully defined a stock level and a minimum stock level for the variation.

You can also update the stock level on the Variations tab for the product with variations. Hover over the column Stock level, select EditPencilIcon.png, and enter the respective value. Your changes will be saved automatically.

There is no bulk action for updating the stock levels. That means that you'll need to repeat the steps above for each variation.

Caution

If you set the stock level for the product with variations on the General tab instead, this value will be automatically applied to all new variations. However, existing variations will need to be updated manually.

How will the stock level be updated?

The stock level will be automatically updated according to the incoming orders. Once you have restocked a product, you’ll need to manually update the stock level in your shop.

If you manually change the quantity of ordered products on order documents, this has no effect on the stock level. In this case, you‘ll need to correct the stock level yourself.

If you mark an order as Rejected, the stock level for the ordered products will be automatically corrected. This also applies to the order status Returned. For further information, refer to Order status.

When you import products, their stock level is also imported. If you don't want this, delete the Stock level column from the import file beforehand. For further information, refer to Edit exported data.

How does the stock level affect the product display in the shop?

The stock level not only gives you an overview of your stock, but is also used to display the availability in your shop. For example, if the stock level of a product is 0, the product will be displayed as sold out.

On the other hand, the minimum stock level indicates the number of products that must be available for the product to be displayed as in stock. If the stock level falls below this value, the product is displayed as low in stock. For further information, refer to Availability settings.
